<p><strong>The Opportunity: Payroll Specialist</strong></p><p>We're looking for a detail-oriented and organized <strong>Payroll Specialist</strong> to join our team. In this role, you'll be responsible for the accurate and timely processing of biweekly payroll for our 300 employees. If you have a solid understanding of payroll principles, a keen eye for detail, and are eager to contribute to a dynamic team, we encourage you to apply!</p><p><br></p><p><strong>Key Responsibilities:</strong></p><p><strong>Payroll Processing:</strong> </p><ul><li>Process bi-weekly payroll for all salaried and hourly employees, ensuring the accuracy of wages, salaries, benefits, deductions, and statutory remittances.</li><li>Review and verify all payroll inputs, including new hires, terminations, changes in compensation, benefit enrollments, and leaves of absence.</li><li>Calculate and process special payments such as bonuses and commissions.</li><li>Reconcile payroll data to ensure accuracy and resolve any discrepancies.</li><li>Import timesheet data from NetSuite on a weekly basis and verify hours with management as discrepancies arise</li></ul><p><strong>Compliance & Reporting:</strong> </p><ul><li>Ensure strict adherence to all federal and provincial payroll legislation (e.g., Canada Revenue Agency (CRA) regulations, Employment Standards Act (ESA), workers' compensation).</li><li>Prepare and submit all required payroll remittances (e.g., source deductions, WSIB/CSST).</li><li>Prepare payroll & benefit journal entries following each payroll run. </li><li>Assist with the generation and distribution of T4s, ROEs, and other year-end tax forms.</li><li>Prepare various payroll reports for management, finance, and HR as required.</li><li>Stay informed about changes in payroll legislation.</li></ul><p><strong>System Management & Improvement:</strong> </p><ul><li>Maintain accurate employee records within the ADP payroll system for multiple divisions.</li><li>Identify opportunities for process improvements to enhance efficiency and accuracy.</li></ul><p><strong>Employee Support:</strong> </p><ul><li>Act as a point of contact for employee payroll inquiries, resolving issues promptly and professionally.</li><li>Provide clear and concise explanations of payroll-related matters to employees.</li></ul><p><strong>Other duties:</strong> </p><ul><li>Work closely with HR, Finance, and other departments to ensure seamless information flow and data accuracy.</li><li>Help keep payroll & employee files up to date as required</li><li>Prepare semi-monthly benefit reporting & invoices for management approval and follow up to obtain approval as required</li><li>Assist with internal and external payroll audits.</li><li>Other duties as needed</li></ul><p><br></p><p><strong>What you'll need to be successful in this role:</strong></p><p><strong>Education:</strong> </p><ul><li>Post-secondary education in Accounting, Finance, Business Administration, or a related field.</li><li>Payroll Compliance Practitioner (PCP) certificate is a must</li></ul><p><strong>Experience:</strong> </p><ul><li>Minimum of 3-5 years of experience in payroll processing. </li><li>Experience in processing payroll that includes importing data</li><li>Experience in processing payroll for both hourly and salaried employees.</li><li>Experience in processing multi-division payroll is a must</li><li>Experience in preparing journal entries and GLI reporting</li><li>Familiarity with Canadian payroll legislation, including federal and provincial tax laws.</li></ul><p><strong>Skills:</strong> </p><ul><li>Proficiency with payroll software with ADP WFN</li><li>Strong Microsoft Excel skills.</li><li>French language skills a strong asset.</li><li>Exceptional attention to detail and accuracy.</li><li>Strong analytical and problem-solving abilities.</li><li>Accounting skills pertaining to payroll (GLI reporting)</li><li>Excellent communication (written and verbal) and interpersonal skills.</li><li>Ability to handle confidential information with discretion and integrity.</li><li>Strong organizational and time management skills, with the ability to prioritize and meet deadlines.</li><li>Ability to work independently and as part of a collaborative team.</li></ul><p><br></p><p><strong>A Workplace Built for Everyone:</strong></p><p>We are proud to be an equal-opportunity employer, where everyone feels welcome and has the opportunity to thrive.
